Company Account Payment Verification Document Guidelines

For many therapists payment verification happens automatically, but sometimes we may require additional documentation. 

This usually happens where there is mismatch between your business EIN and the name the IRS associates with that number. 

Verify & update your payment information

  1. Please double-check that your EIN in your profile is correct.
  2. If your EIN is correct, please refer to any official IRS documentation which shows the exact way the IRS lists your business name.  Your SS-4 Confirmation Letter or the Letter 147C (the record of how your entity is filed with the IRS) will have this information. 
    1. If needed, you can request a Letter 147C by calling the IRS Business & Specialty Tax Line toll free at 1-800-829-4933.
  3. If you see a difference in your name (upper/lower case, symbols, punctuation, etc.) please update your name within the Payments section of your BetterHelp profile so it matches exactly. It is important that the information you enter for your legal name and tax ID number EXACTLY MATCH the information displayed on your official IRS-issued documentation. 
    1. Most therapists we've seen with this issue just need to add their name after their business name. (For example, "ABC Therapy John Smith”). 
    2. The IRS may display business name, and/or owner name, and/or organization name, or other unexpected combinations of information in their records. It is a common naming convention to include both the owner name and the business name.
    3. When in doubt, enter all information listed above the business address. If there are several lines above the address, enter all details on one line separated by single spaces.

After updating your information, you will receive an automated email from BetterHelp within one hour stating if verification was successful or unsuccessful. If unsuccessful, you may attempt to re-enter the information in another combination.

Below is a SS-4 Confirmation Letter example showing what information would be entered as the Company Name in your BetterHelp payment profile.

In this example, the Business name should be entered as:
ACME LLC THERESA LOPEZ-FITZGERALD SOLE MBR

Escalation if automatic verification fails:

If you are confident that the information you are entering matches the IRS-issued documentation and we are still unable to verify with the IRS, please email a copy of your SS-4 or Letter 147C to therapistpayments@betterhelp.com with the subject line,“Business Payee Verification” and we will escalate this on your behalf.
